Privacy Notice

Who we are

Hulubre Ltd is the data controller for the personal information described in this notice. We are registered in England and Wales, company number 13347884. Our registered office is 56 Nelson Road, Uxbridge, UB10 0PU. You can contact us about anything in this notice at hello@hulubre.com.

What we collect and why

When you check your postcode. We collect the postcode you enter. We use it to tell you whether we currently cover your area. Our lawful basis is legitimate interests, specifically operating and improving our service.

When you contact us or ask for a quote. We collect your name, email address, phone number, property address and whatever you tell us about your home and what you need. We use it to answer you, to prepare a quotation and to arrange a survey. Our lawful basis is taking steps at your request before entering into a contract.

When you send us photos or video of your property for a survey. We collect the images and video you upload, together with any information visible in them. We use them to assess the installation, to size and specify the system, and to brief the installer who will carry out the work. Our lawful basis is taking steps at your request before entering into a contract, and performing the contract once you place an order.

Please do not include other people in survey photos or video if you can avoid it. If someone else appears, we will treat their image as personal data and handle it under this notice.

When you buy from us. We collect payment and order details, the installation address, access arrangements, and records of the work carried out including equipment serial numbers. Our lawful basis is performing our contract with you, and complying with our legal obligations for tax records and product traceability.

When you complain or make a warranty claim. We collect what you tell us and our record of how we handled it. Our lawful basis is performing our contract with you and our legitimate interest in defending claims.

We do not use your information for automated decision-making, and we do not sell it to anyone.

Marketing

If you buy from us, we may email you about similar installation and servicing work. You can tell us to stop at any time, using the unsubscribe link in the email or by replying to it, and we will. If you have only enquired and not bought, we will not send you marketing unless you have asked us to. Our lawful basis is legitimate interests for existing customers, and consent otherwise.

Who we share it with

The installer appointed to your job. We pass on your name, address, contact number, access details and the survey information they need to do the work safely and correctly. Installers are separate businesses working under a written agreement with us. That agreement requires them to keep your information confidential, to use it only for your installation, to keep it secure and to delete it when they no longer need it.

Installers are also required by law to keep their own records of refrigerant handling and of the work they carry out. They are responsible for those records in their own right, and they must keep them for the period the law requires.

Our equipment supplier, where a delivery is made direct to your property. They receive the delivery address and the installer's details. They do not receive your survey media.

Our professional advisers, insurers and payment providers, where necessary.

Anyone we are legally required to share it with, including HMRC.

We do not transfer your personal information outside the UK.

How we keep it safe

We keep your information on access-controlled business systems, we limit who can see it to the people who need it for your installation, and we require the same of the installer appointed to your job. If something does go wrong and your information is at risk, we will tell you where we are required to.

How long we keep it

Enquiries that do not become orders are kept for 12 months, then deleted.

Order, installation and equipment traceability records are kept for 11 years from installation. This is longer than we would otherwise keep them and it is deliberate: it is the period our product liability insurer requires so that any future claim about a system we installed can be properly investigated.

Survey photographs and video are kept for 6 years from installation, or for 12 months if your enquiry does not become an order.

Accounting records are kept for 6 years after the end of the accounting period, as required by law.

Your rights

You have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to have information deleted where we no longer need it, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on legitimate interests, you can object and we will stop unless we have compelling grounds to continue. Where we rely on your consent, you can withdraw it at any time, and that does not affect anything we did before you withdrew it.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.

Cookies

This site sets one cookie, a technical identifier used to serve you the correct version of the site. It does not identify you, it is not used for advertising, and it is not shared with anyone. Because it is strictly necessary for the site to work, we do not need to ask your permission for it.

We do not use analytics cookies, we do not track you across other websites, and we do not sell your information. If we add analytics in future we will ask for your consent first and update this notice before we do.

If we change this notice we will update the date below.
